Administrative Assistant – Religious Education/Faith Formation Department
Job Summary:
This position works with a current Administrative Coordinator to manage the Faith Formation Program and Sacramental Prep. Hours are Monday-Wednesday, 8am-4pm – 24 hours per week. Some occasional evening and weekend meetings will be required. Responsibilities include but are not limited to the following:
Data Entry & Recordkeeping:
- Maintaining family records in ParishSOFT
- Maintaining budget database and submitting invoices to bookkeeper
- Processing tuition payments and sending invoices to families
- Maintaining catechetical formation and sacramental records
- Maintaining registration and emergency forms for each class of students
- Creating lists and reports as needed for classroom use or sacramental prep
- Requesting and recording sacramental information from families and other parishes as needed
SCAP:
Our Summer Catechetical Alternative Program (SCAP) runs Monday-Thursday for two weeks in June (PM session – 5:30-9pm) and July (AM session – 9am-12:30pm). Preparations begin in February and include:
- Finalizing the schedule and program content
- Ordering and preparing program materials
- Being present during both program time frames
Other Duties:
- General office duties including filing, making copies, etc.
- Answering the phone and in-person visits to the office
- Creating mailings as needed
- Inventory and order hospitality supplies
- Inventory and order textbooks and program supplies
- Assist in drawing up yearly budget
- With the assistance of a volunteer team, coordinate the Advent By Candlelight service
Desired Qualifications:
- Computer experience with the ability to learn new software - programs currently used include Microsoft Office (Word, Excel, Publisher), ParishSOFT, and Flocknote
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality
- Physical ability to move around the building, moving supplies (under 25 lbs.), setting up rooms and basic AV equipment
- Has had or will schedule Protecting God’s Children training
